CHAPTER OFFICERS DESCRIPTION OF DUTIES
All Officers of the Chapter agree to conduct themselves in a proper and appropriate manner, and agree to act on matters in the best interest of the Chapter and its members. Additionally, each officer will commit to attend the monthly Chapter Board meetings, and the Annual Officers Planning meeting.
The following are the responsibilities of each of the Greater Quad Cities RIMS Chapter Officers.
PRESIDENT:
The President is the Chief Executive Officer of the Chapter and is responsible for providing leadership and motivation to all chapter members. The President is also responsible for assuring that the Chapter operates in accordance with its and RIMS National's Constitution & Bylaws and conducts its business in accordance with the laws or jurisdiction in which it is located.
The President will carrier out the following functions:
Supervises all Chapter business and activities
Serves as the Chapter's official spokesperson
Prepares Chapter Board Meeting Agendas
Presides over Chapter Board Meetings
Presides over Chapter Meetings
Reports to Chapter Members on Chapter matters (Meetings/Newsletters)
Appoints Committees
Receives officer and committee reports
Check and Contract signature authority (jointly with Treasurer and Secretary)
Sends thank you letters to program speakers
Sends letters to guests or prospects following meeting attendance
FIRST VICE PRESIDENT:
Assist the Chapter President in planning and meeting management and other Chapter activities
Serve as Chair person for Chapter meetings when requested or when the President is unavailable
Sends out Chapter meeting speaker confirmation & thank you letters
TREASURER:
The Treasurer is assigned responsibilities for all financial operations and is expected to be accountable for all income and expenditures.
The Treasurer will carry out the following functions:
Obtain financial records and files from the previous treasurer
Review such records and reconciles any discrepancies
Prepare monthly financial statements for Chapter Board meetings
Reconcile bank statements
Monitor Chapter cash flow
Assess meeting costs and revenues
Issue all Chapter checks as directed by the board
Prepare and files IRS and other government forms
Maintain proper and adequate financial records
Serve as the responsible party in the absence of the President & Secretary
SECRETARY:
The Secretary will: (Bold items reassigned temporarily):
Record and prepare minutes of the Board and other business meetings
Distribute minutes to all Board members following approval by the President
Maintain Chapter records of minutes and Articles of Inc. etc.
Submit meeting notices to selected media
Maintain the Chapter’s membership rosters and other mailing lists
Maintain meeting name tags and meeting notices
Receive, record, and coordinate meeting notices and reservations with the President
Notifies all Chapter members and RIMS National office of:
Chapter officer/director changes
Deputy member changes
New Chapter Members
VICE PRESIDENT – MEMBERSHIP:
The VP Membership is responsible for membership retention and acquiring new Members for the Chapter. He or she will coordinate all membership committee activities, and review all Prospective members or membership applicants to assure their eligibility under National and Local Chapter By-Laws.
Provide RIMS National with membership information as requested
Welcome and introduce all member prospects attending meetings
Send prospect attendees a letter following meeting
Bill Associate Member’s dues annually as directed by the Board
MEMBERSHIP COMMITTEE:
Will assist the VP Membership in obtaining, retaining, and communicating with Chapter
Members of all categories (Members, Associate Members, & Prospective Members).
VICE PRESIDENT – PROGRAMS:
Plan, arrange for, and coordinate the Chapter’s Monthly Programs
Arrange, confirm, and introduce Chapter Program Speakers
Send Speaker thank you letters
Arrange for, obtain, and give out Speaker thank you gifts
VICE PRESIDENT - LEGISLATIVE AFFAIRS:
Will review and distribute, to the Chapter Membership, information and notices
of legislative activity concerning insurance and risk management issues.
Will participate in monthly Chapter Officers meetings to govern the activities
of the Chapter.
HOUSE OF DELEGATES REPRESENTATIVE:
Represents the Chapter at RIMS national meetings
Reports results of RIMS meetings and actions to the Chapter Officers & Membership
Serves as the day to day liaison between the Chapter and RIMS
